Our continued growth and sucess has created an opening for a Condominium Manager to manage Condominium Corporations located in Calgary and area.

POSITION RESPONSIBILITIES

The role of Condominium Manager is to provide strong leadership and management direction on behalf of Board of Directors and Acclaim Condominium Managers.  The prime responsibility is to oversee the management of a portfolio of clients to execute the directives of the Board on behalf of the Condomnium Corporation. The Condominium Manager has oversight of all aspects related to the business and operations of the condominium.  The purpose of this role is to create a point of contact in the condominium, enhance communication and create effective oversight of staff and operations. The Manager has the sole duty of the day-to-day operations, legal compliance and overall oversight of the condominium corporation and it's staff. The Manager will provide leadership and direction in the development of short-term and long-range plans as well as convey recommendations for goals and action plans to achieve Board objectives. 

  • Preparation of Annual Budgets and in partnership with the Board, implement the Board approved annual Operating and Reserve Fund Budget
  • Review organizational structure, job descriptions, and functions. Make recommendations to the Board as to any potential changes
  • Communication with the Board of Directors, Unit Owners, Tenants, Contractors, etc.
  • Acquisition and dissemination of Quotes for Board review
  • In conjunction with the Board of Directors implement preventative Maintenance Programs
  • Perform Administrative duties as requested by the Board of Directors: minute taking and prep of Board meetings and AGM
  • Maintain and update Corporation files, By-law letters, etc.
  • Negotiate and manage vendor contracts as approved and directed by the  Board of Directors
  • Support the activities of Board sub-committees as applicable
  • Knowledge of all Condominium Corporation Governing documents, The Condominium Property Act of Alberta, Other Pertinent Legislation, Condominium Specific Policies, etc.
  • Provide information and guidance to ensure that the needs of the homeowners are being addressed
  • Monitor and report to The B oard of Directors on the monthly financial position of the Condominium
  • Attend Board Meetings and provide agendas and minute taking, if requested by the Board
  • Update and manage the Condominium Corporation's documentation
  • Work closely with local emergency organizations to maintain established emergency and community evacuation plans as appropriate
  • Assess and monitor Corporation needs: identify opportunities for improving service delivery methods and procedures 
  • Attend and participate in professional group meetings. Stay abreast of new trends and innovations in fields of condominium management
  • Understanding of all agreements for corporate implementation
  • Ensure adherence to master calendar, maintenance calendar, condominium budgets 
  • Review corporation policies on an ongoing basis to ensure compliance with civil code, declaration and other requirements of governing institutions
  • Perform building inspections of interior and exterior of property and prepare action plan for opportunities
  • Shall at all times ensure due diligence for the protection of client’s funds, property and assets against all reasonably foreseeable contingencies or losses
Additional Duties & Responsibilities
  • Practice and adhere to Acclaim Condominium Managers Standards and Corporate Policies
  • Perform or assist with any operations as required to maintain workflow and to meet schedules. Notify supervision of unusual equipment or operating problems and the need for additional material and supplies
  • Bring forth thoughts on communication, obtain approvals, resolve problems and maintain specified level of knowledge pertaining to new developments, requirements, policies, and regulatory guidelines
  • Ensure all safety precautions are followed while performing the work
  • Follow all policies and Standard Operating Procedures as instructed by Management
  • Perform any range of special projects, tasks and other related duties as assigned

KNOWLEDGE, SKILLS, & ABILITY

To perform this job successfully, an individual must be able to perform each essential duty proficiently.  The requirements listed below are representative of the knowledge, skill and/or ability required.

  •  Is committed to continual learning as evidenced by attendance at industry programs and industry and educational opportunities that enhance interpersonal skills
  • Display strong written skills and publish appropriate documentation as directed to create records for the corporation; particularly in the area of operations, and relationship management
  • Experience managing condominium
  • Possess budgetary knowledge and control for the purpose(s) of executing programs within the condominium as well as related activities that may be cost-shared for the benefit of the condominium
  • Display a community posture that positively represents the vision of the condominium
  • Effectively communicate so as to instill confidence in the homeowners that reside within the condominium as well as the public that may interact through designated programs
  • Intermediate to advanced knowledge of Microsoft Applications, especially Word and Excel
  • Working knowlege of Yardi ( industry specific property management software) an asset
  • Must have an excellent work ethic, strong time management skills and exemplary follow-up
  • Good listening skills, collaboration and able to resolve conflict
  • Work within a confidential environment and protect the confidential nature of the work/client 
  • Sound, executive decision-making capabilities
  • Demonstrates good client interaction and accessability
  • Demonstrates excellent command of the English language both oral and written; concise and effective writing skills 
  • Strong organizational and time management abilities in order to implement and monitor progress for successful completion; must also work effectively under pressure and meet deadlines
  • Be able to accommodate evening meetings

 

MINIMUM EXPERIENCE

  • Bachelor’s Degree in Business or related field from an accredited college or university, and a miniumum of two to three years’ experience in Property Operations, Hospitality or Construction; OR equivalent combination of education and/or experience
  • Management experience in a small or medium-sized organization including responsibility for more than one functional department or division preferred
  • Understanding of physical building management, condominium law, financial planning and law affecting condominium management
  • Valid Driver’s License

Property Administrator - Position Filled

Acclaim is currently looking for the right candidate to join our dynamic team. As a Property Administrator, some of your responsibilities would include:

Processing and sorting mail, invoices and incoming cheques

Updating and maintaining internal data bases

Maintaining the Filing System

Providing administrative support for the Accounting Department and the Brokerage

Providing occasional support to the Front Desk as the main point of contact for clients via telephone and walk-ins

The candidate must have a strong work ethic, be customer service oriented and have excellent written and verbal English skills.

The candidate should have 3 – 5 years of administrative experience. An Administration Diploma is an asset.
